A little clarity goes a long way

First, the
five big decisions.

Before the mood boards become a full-time job, agree on the choices that shape everything else.

Plan the guest weekend

01Set a guest range and your three priorities

Before touring venues, agree on a working guest range, a total spending limit and the three things you care about most. That might be food, photography and an easy weekend for family. Use those choices to compare options. Ask for a written estimate that shows what is included, what costs extra and when payments are due. A beautiful space is only useful if the complete plan fits.

02Choose the setting and a workable backup

Compare the whole experience, from getting ready to the last ride home. At the Oceanfront, Cavalier Resort offers beach, garden and ballroom settings; in Williamsburg, Kingsmill offers indoor and outdoor spaces with James River views. At any outdoor venue, ask to see the actual rain location and learn when the weather decision is made. Walk the route your guests will take, including anyone who needs step-free access.

03Make the local travel plan early

Put your ceremony, reception and likely guest hotels on one map. If the weekend crosses between the Peninsula and South Hampton Roads, build the schedule around the journey as well as the mileage. VDOT’s Hampton Roads travel resources link to current bridge and tunnel conditions through 511 Virginia. Check again closer to the date. Give guests clear parking instructions, a realistic arrival window and a transportation contact.

04Match your team to the plan

Ask who owns the timeline, coordinates arrivals, handles a room change and answers questions on the wedding day. Clarify the venue contact’s role before deciding how much independent planning help you need. For attire, tell the boutique your date before booking: Here & Now Bridal focuses largely on gowns available off the rack, while Studio I Do offers designer collections and in-house alterations. Confirm fitting dates and alteration arrangements directly.

05Check the details before the invitations

For a public-beach ceremony, start with the City of Virginia Beach’s current beach wedding guidance and confirm your exact setup with the city. The ceremony location and reception location may need separate plans. Then put addresses, timing, attire, accessibility information and an RSVP contact in one place. Give your photographer a short list of the people and moments that matter most, with time for those photographs in the schedule.
